Successful running of businesses requires effective communication. Companies must communicate regularly with essential stakeholders such as customers, employees, creditors, and shareholders. Effective communication prevents breakdowns that adversely affect businesses. The first and most significant stakeholders of companies are customers. Businesses are set up to make earnings, which are achieved through selling goods and services to customers. Selling products and services is daunting because a company has to elicit interest in prospective clients and encourage them to buy. Communication is at the heart of the sales and marketing process. Advertising involves passing a message likely to attract clients to a business. Maintenance of customers is another crucial role that any business organization has to undertake. Maintaining customers helps ensure regular purchases. This paper discusses challenges in communication across national boundaries within the business, including call center communication, social media marketing, website marketing, and promotion interpretation. Effective communication still plays a crucial role in the maintenance of customers. In order to retain customers, businesses rely on customer care, call centers, marketing, and advertising.
Call Center Communication
A call center is usually an office intended for receiving and discharging phone calls concerning different kinds of inquiries. Organizations typically use the call center to provide customer services vital for customer retention (Stepanov et al., 2019). Organizations with many customers, such as banks, e-retailers, and telecommunication companies, cannot adequately use their front desks to attend to calls and inquiries. They typically set up large offices with many phones and operators to handle calls. Call center operators are also highly trained in communication and customer service to ensure that they provide top-notch services to customers. Modern-day call centers are equipped with sophisticated telephone switching technologies and software. Telephone switching technology helps in transferring calls to call center operators who are not busy at the moment. The software helps retrieve customers' information and deal with their queries. The growth of businesses in terms of their customer base has made call centers a feature many firms cannot avoid.
A state-of-the-art call center would mean little if the operators do not communicate with clients. A good call center operator should be able to build rapport with callers, which is crucial to building superior-quality relationships. Call center agents have to be able to communicate professionally and in a friendly manner. This irritates the customers, which might lead to the loss of such customers. Professional and friendly communication is an extra challenge when communicating with angry and abusive clients (Cheng et al., 2022). Some callers call center agents due to frustrations regarding the organization or a service. A good operator should strive to call the caller down professionally and ably address their concerns. Excellent call center operators ought to be good communicators. The agent needs to understand what a customer wants and then work to provide that service or product. Good listening can only be achieved by understanding the needs and concerns of the customers. A good agent should always ask proper questions to understand a problem.
Call Centers Situated Outside National Boundaries
With the advancement of the Internet and telephone communication technology, finding call centers for businesses in foreign countries has become a trend. The primary reason for setting up a call center out of the country is cost minimization against its operation. In Western countries like the United States and the United Kingdom, the labor cost is much higher than in underdeveloped countries (Park, 2021). Organizations can save a lot of money by maintaining call centers in locations where labor costs are much cheaper. India is one country where firms from the US and UK outsource call center services. One problem arising from setting up call center services abroad has been the loss of jobs in the home country (Park, 2021). Such a practice has also attracted criticism against companies embracing the same, as they seem concerned more with maximizing profits than helping create more jobs back home.
Technology has also enabled the establishment of call center services outsourcing businesses. Some businesses today specialize in offering call center services to other companies at a price. The call center services businesses are removing the need for firms to set up offices, invest in necessary equipment and software, and hire and train their call center agents. Businesses that do not want to bear the cost of operating a call center domestically can employ the services of a call center service firm located in a country where the cost of wages across that economy is low and get the firm to address concerns related to customer service (Khan et al., 2022). The emergence of locating call centers outside national boundaries or outsourcing such services outside a country has thrown up new business challenges. The issues have to be duly identified to avoid the dissatisfaction of customers that comes as a result of the practice.
Call Centers Problems
A significant challenge that call center businesses face relates to employee skills. The primary objective of most call centers is to respond to customers' inquiries, among other services. Practical communication competencies are crucial to realizing the significant objectives. Acquiring workers with the necessary practical communication competencies is a major challenge for organizations (Jackson, 2020). Identifying and training the appropriate workers is a time-consuming and costly process. Resources are spent on training employees to relate with customers, among other things. Resource scarcity cannot train the employees effectively; that might imply rendering low-quality customer service. The organizations have to replace the call center agents now and then due to laid-off employees or quitting the company.
