Assessment Task 2 – Role Play + Report
Assessment Task 2 – Role Play + Report
Background information Manage use of information or knowledge management system You are the Learning and Development (L&D) Manager at Study Group Australia (SGA). You have just overseen the installation of a new Learner Management System to be used by the academic administrator to manage student, classes, results and lecturer information. The system was developed using Microsoft Access 2003. The existing system currently allows administrators to perform the following:
- Enter classes (including class schedule information), instructors, departments, terms, year and units
- Enter student information, including major, telephone number and grades
- Enter assessment information, including assignment types and percentage grades
- Produce reports such as class listing by departments, class results summary, results by assignment, results by students, class schedule and list of students
The implementation plan requires that only Angela, the Academic Office Administrator is allowed to have access to the system to make entry, updates and deletions to data. Existing procedures also require assessors to submit to Angela results 14 days after an assessment is completed for entry into the system. Upon receipt, Angela will enter the results into the system, printout a copy and post it into the bulletin board for students to view. Your tasks: You are required to perform the following scenarios in the class: Role-play scenario 1 Angela was absent at work today due to health reasons. Today was also the due date for the results of the Programming class to be posted on the bulletin board. The Course Coordinator instructed Sheryl, the college Receptionist to access the system and produce the student results report. In a role-play, you are to counsel Sheryl and point out to the Course Coordinator that compliance to the security policies and procedures needs to be followed to ensure compliance.
Role-play scenario 2 Angela, the Academic Office Administrator has just left the company and a new person has been hired to replace her. On her first day, she was instructed to enter the following details into the Learner Management System: Class name: Web Site Design Instructor: Jamie Mantell Department: Graphics Design Days/Times: MWF 2:00 Location: Room 14 Section#: 1 Term: Summer Year: 2010 Units: 3 Students: Alan Shen, Conor Cunningham, Erik Andersen and Nancy Anderson Assignments: Assignment 1 Weighting 50%, Assignment 2 Weighting 50% Jamie Mantell was a new instructor and needs to be entered into the system. Sheryl is having problems entering new instructors, new classes and new assignments. She called your office and asked for assistance. In a role-play, you are to address implementation issues and problems as they arise in the use of the existing system. You are to show Sheryl how to perform the following tasks:
- Enter new instructor
- Enter new classes
- Enter new assignments
Role-play scenario 3 The Learner Management System could not be opened. An error message was saying the file ‘has been corrupted' and could not be opened. You investigated the possible cause of the issue and you learned that a thunderstorm occurred the previous night affecting the circuit breaker in the college campus. Electricity was cut off abruptly causing the computer to terminate the application unexpectedly. In a role-play, you are to call Helpdesk/Support and explain the problems you are facing opening the file including the possible cause of the problem. One of the trainees will be appointed by your assessor to play the role of the support person. You will be assessed in your ability to talk to a technical specialist using a professional and friendly manner. Good telephone conversation skills will need to be applied in this role-play. An example of a good telephone conversation is as follows: Caller: Good morning/afternoon/evening. This is James from Academic Office how are you today? Helpdesk: Good thanks, how may I help you today? Caller: Not to bad, thank you very much! The reason I called in today is about… … Caller: Thank you very much! You've been a wonderful help! Role-play scenario 4 An email has been forwarded to you by Sheryl regarding a query by a couple of the instructors regarding entering the student results in Microsoft Excel and sending the soft copy file to Sheryl for entry into the Learner Management System instead of filling out a paper form. She's unsure whether there will be incompatibility with the data formats of Excel and Access. She wanted your input regarding this matter. In a role-play, discuss with Sheryl regarding the possibilities of integrating data from MS Excel and MS Access files
Role-play scenario 5 You wanted to collect feedback regarding the effectiveness of the existing system. You sat one-on-one with Sheryl to get her feedback on the system. In a role-play, you will ask her the following questions and document her feedback: Interview Questions
a. Can you effectively use the system to enter student, class, assessments, grade and lecturer information in the existing system?

Mohammad says: “Hello Sheryl I would like to help you upload the new data and information for our new instructors, classes and assignments.
Sheryl says: “Thanks, I have been having difficulties to sort this out.
Mohammad says: “First I will send you a file with our new instructor's profiles, the classes they will be teaching and the assignments.
Mohammad says: “You will then be able through accessing the Learner Management System to add the new profiles and information to the files that you already have on your system.
Mohammad says: “A sample is provided for you for the class name “Web Site Design” which will be taught by our new instructor “Jamie Mantell”. The classes will be on Monday, Wednesday and Friday at 2:00 Pm in room 14. The course will be composed of 3 units.
Regarding course assessment the course will be weighted by 2 assignments 50 % on each. The file I will send you will include all details for the course, students, instructor & course assessment. Is everything clear? Please do not hesitate to contact me if you have any further questions.

In the modern world the demand for a good and effective learner management system is increasing, especially where bulky data needs to be stored and analyzed. Organizations must accept the fact that information is on the increase and intensifying more rapidly than ever due to advances in technology (Ross, 2007). The presence of all old records which all need to be stored and saved while there are new records being produced added and updated daily gives a school the reasons to establish an effective database management system.
Even organizations that few years ago saw no use or importance for a learner management system are now under pressure to establish even the simplest information system that will help them handle the data they need to store (Ross, 2007). In the school setting gives more challenges since whatever transpires between the students and their course instructors need to entered and displayed to avoid conflicts.
Most learner management systems target one objective which is to take the information the company has and store it successfully (Garmany, et al., 2005). Consequently, retrieving and accessing that information back should be easy and quick and without any difficulty or complications.
In addition, a school needs a feature that allows the access of information from one particular central locality where every aspect is controlled and handled from. Furthermore there is no use of information if its access is difficult due to the scattering to various disparate departmental systems in view of the fact that it will waste a lot of time to gather and make it difficult to manage (Garmany, et al., 2005).
For a company, if the accounting, sales information, inventory, and liabilities information is all in different places the manager will face difficulties in making emergency decisions which must be appropriate and effectively (Ross, 2007). This calls for merging of the database to a central location. This translates to the school system where marks for students are always scattered in all departments where students will have to move all over to have access to all their results particularly when they are dealing with numerous departments.
Learning Management System
The learning management system should be very efficient in reducing all the stalemates that information handling is facing and produce a mechanism that creates ease of access and confidentiality of information. The learner management systems must also have feature that allow the capability to formulate statistical and data analysis, this will be very effective to the management especially in business make the most precise and suitable resolution as swiftly as possible (Garmany, et al., 2005).
The learners’ management system in the assessment has numerous issues that must be addressed to make it efficient and effective to serve the students. The limitations that must be addressed include security where there is no application level login name and password feature that is required to protect the information in the database. The system does not also have a calendar feature that give timelines of the data and information in the database. The systems does not incorporate a student messaging feature that would help student access their marks anytime anywhere. In addition the management system does not have a feature that makes the database accessible through browsers. Without the above named features issues of confidentiality, authenticity and accessibility will be a problem making it ineffective (Roman, 2002).
According to the Study Group Australia (SGA) the new learning management system needs to have; manage users, roles, courses, instructors, facilities, and generate reports. The management needs to take control of all the named functions from one user login in that whatever that is produced by the database should be authorized and credible. The system must also have a course calendar, a learning path that allows every trainee to be able to manage the learning pathway. Student messaging and notifications, assessment and testing handling should also be features in the system. In addition it should be able to display scores and transcripts and be able to grade the coursework and duty rosters for each instructor, trainer and manager including wait listing. A web based or blended course delivery is essential to ensure student get updates from the database whenever they request or through periodic subscriptions.
Decision Support System (DSS)
The DSS is an effective integrated system that gives an example of the learners’ management system that need to be incorporated to suit the functions. The DSS is a knowledge based system that should be copied by the schools’ management system. It incorporates he database the model base the knowledge base the Graphic User Interface with the user to ensure a comprehensive system (Roman, 2002). The database include the storage of the information in form of excel or access that will be retrieved by the system. The model base gives the statistical and optimization of the data; so that an analysis can be done; these include integer programming, linear programming, and nonlinear programming (Roman, 2002).
The knowledge base stores the important managerial decisions which can be retrieved in order to assist in solving stalemates. The storage is done on data with patterns which is already analyzed and decisions made. The graphic user interface ensures that all the information is communicated effectively. It also has features that allow the user ability to add or update information in the database (Roman, 2002). The most flexible databases must have this feature that is working effectively in order to avoid complications of the database. The user is integrated to utilize the database information which must be available efficiently and credibly at the appropriate time.
Analysis of the Learning Management System
The learning management system has six areas to be evaluated; this include firstly the Functionality and expandability, the Usability, the Reporting, the Standards and compliance, the Administration and support, and last but not least Technical specifications and correctness (Liskin, 1994). Having the above features working correctly will solve the problem that the system is having and make it effective in that it serves the purpose that it was set up for.
Functionality and Expandability
Functionality and expandability measure the systems ability to meet the obligations of the many operations it is required to perform (Garmany, et al., 2005). The learner management system is supposed to Manage users, roles, courses, instructors, facilities, and generate reports; have a Course calendar, have Learning Path (ability for each trainee to manage learning pathway), have a Student messagin...
